Why a Student May Not Appear in Your Yearbook Files

Why Students May Be Missing

If a student does not appear in your yearbook files, it is usually due to a student data issue rather than a photography issue. Below are the most common causes.

Student Was Not Included on the Original Roster

Iron City Studios builds your yearbook files using the student roster provided before picture day. If a student was not included on that roster, we have no data available to match their photograph.

This commonly occurs when:

• A student enrolls after the original roster is submitted.

• A student is accidentally omitted from the school's data export.

• There is an issue with the school's student information system.

Handwritten Information Could Not Be Read

Students who are not on the original roster may complete a handwritten information card on picture day. While we make every effort to identify these students, illegible handwriting or incomplete information can prevent us from matching the image correctly.

Examples include:

• Difficult-to-read handwriting

• Nicknames instead of legal names

• Missing grade level or teacher

• Incomplete information cards

Student Used the Wrong Information Card

Occasionally, a student accidentally picks up another student's information card or provides incorrect identifying information. This can result in one student appearing under another student's name while the correct student appears to be missing.

Student Was Absent

Students who were absent on picture day and did not attend a scheduled makeup session will not have a yearbook portrait available.

Student Enrolled After Picture Day

Students who enroll after picture day will not appear in the yearbook files unless arrangements are made for an additional portrait session.

Best Practices

To help ensure accurate yearbook files, we recommend that schools:

• Compare our student data list with your current enrollment roster.

• Review photographed and non-photographed student reports as soon as they are received.

• Verify student name spellings before yearbook deadlines.

• Encourage families to review their student's online gallery. Identification issues are often discovered quickly when parents view their photos.

• Notify Iron City Studios immediately if a student is missing or incorrectly identified so corrections can be made before yearbook production deadlines.
